Where do I log in to CloseMagnet?

Go to https://app.closemagnet.com/login and enter the email address your account was created under along with the password you set, then click Sign in. If you forgot your password, click Forgot password? and follow the emailed reset link.

Every account also requires two-factor authentication, so after your password you will be asked for a 6-digit code from your authenticator app.

If your plan is no longer active, sign-in is paused and you will see a message telling you to contact your account owner. Owners receive a secure reactivation link by email.

Open Full Article
Do I have to turn on two-factor authentication?

Yes. Two-factor authentication is mandatory on every account and every role. You cannot reach the app until you enroll an authenticator app, and you will be prompted for a code on future sign-ins.

After your first successful sign-in, CloseMagnet sends you to the setup screen at https://app.closemagnet.com/mfa/setup. Scan the QR code with your authenticator app (or enter the manual key), type the current 6-digit code into the 6-digit code field, and click Verify and activate. You then land on your dashboard.

On later sign-ins you enter your email and password, then a second screen asks for the current 6-digit code from your authenticator.

Open Full Article
Which authenticator apps work with CloseMagnet?

Any standard TOTP authenticator app works. Google Authenticator, Authy, and 1Password are all supported.

During setup at https://app.closemagnet.com/mfa/setup, open your authenticator app and scan the QR code on screen. If you cannot scan, click the option to reveal the manual key and type it into the app by hand. Your app then shows a rotating 6-digit code. Type that code into the 6-digit code field and click Verify and activate.

Codes rotate every 30 seconds, so if a code is rejected, wait for the current one and enter it fresh.

I got a new phone and lost my authenticator. How do I get back in?

Contact your account owner or support to have your two-factor factor reset. Once it is reset, you can re-enroll a fresh authenticator at the setup screen (https://app.closemagnet.com/mfa/setup) by scanning the QR code or entering the manual key, then verifying the current 6-digit code.

Two-factor authentication is mandatory and cannot be turned off, so re-enrolling a new authenticator is the way back in after a lost or replaced device.

Open Full Article
Why can't I scan the two-factor QR code?

Some devices block camera access, which stops the scan. On the setup screen at https://app.closemagnet.com/mfa/setup, click the "Can't scan?" option to reveal the manual setup key, then type that key into your authenticator app by hand.

Your app will then show a rotating 6-digit code. Enter it in the 6-digit code field and click Verify and activate to finish enrolling.

What is the "Get set up" checklist on my dashboard?

It is the first card on your dashboard, and it tracks the first actions that make the platform useful: Account created, Workspace configured, Add your first 10 buyers, Set buy-boxes on 5 buyers, Mark a property marketable, and Send your first blast. Each item marks itself complete as you do the work.

The checklist card disappears once you finish and dismiss it, so a fully set-up account has a clean dashboard. There is nothing to fill in by hand; just work through the actions and the card checks them off for you.

What do the numbers on my dashboard mean, and are they real?

Every figure on your Voice AI dashboard at https://app.closemagnet.com/dashboard is computed live from real activity inside the platform: calls placed, minutes used, leads captured, and campaigns running. None of it is typed in by hand.

The page shows your Get set up checklist and weekly recap, Call capacity, a Voice AI financial summary (calls, minutes, your usage charge, your voice rate, and wallet balance), a Pod summary with a Voice AI calls per day chart, Live operations concurrency, an Analytics section with outbound and inbound rates, Trends & analytics with end reasons in plain words and minutes per day, and Campaigns & activity with your top campaigns and recent calls.

Set the date range from the bar at the top and every card re-reads. DNC leads and invalid leads follow the date range like everything else. Provider cost is never shown; you only see your charge.

Links to the app require your CloseMagnet login.

Open Full Article
Why do I only see "Your charge" and not the underlying cost?

Client-facing screens always show costs as your charge. Provider cost and markup are never displayed. This is by design across the dashboard, call logs, billing, and every other surface.

Your charge is the real amount drawn from your wallet for that activity. Voice AI calls are billed at your account's voice rate, shown as Voice pricing on Settings, Account & Billing, and recorded after each connected call settles. You always see what you are billed, just not the mechanics behind it.

What date range does my dashboard show by default?

The default window is the last 30 days. The date-range picker at the top of https://app.closemagnet.com/dashboard also offers Today, Yesterday, Last 7 days, Last 90 days, This month, and a custom range. There is no all-time option, so every read stays bounded.

Changing the window re-reads every tile and chart on the page.

The KPI Dashboard at https://app.closemagnet.com/performance keeps its own window control, and that window travels with you across its Overview, Marketing, and Goals sub-tabs. Its presets are Today, Yesterday, Last 7 days, Last 30 days, All time, and a custom range. Reporting timezone is an account setting, not a control on either page.

Why is my connection-rate tile blank?

The Inbound and Outbound Sales Connection Rate tiles show a dash only when there are no eligible calls in the window. If there were calls but no rep marked any of them Connected, Do-Not-Call, or Callback, the tile shows 0 percent instead, because connections are counted only from rep-confirmed dispositions.

A carrier or LeadAttractor CRM status of completed never creates a connection by itself. The tile reads the disposition your rep saved against the call, counts the rep-confirmed connections, and divides by eligible calls in the window.

To fill it, have your reps set accurate dispositions on their calls, or widen the date window at https://app.closemagnet.com/performance so real activity falls in range. The tiles and the Sales Connection Trend populate as soon as there is rep-confirmed activity to report.

Links to the app require your CloseMagnet login.

Open Full Article
Why does my connection rate look lower here than in my CRM?

CloseMagnet counts a connection only when a rep confirmed Connected, Do-Not-Call, or Callback. A CRM marking a call "completed" does not count by itself, so the CloseMagnet number is stricter and more honest.

To bring the numbers closer, have your reps set accurate dispositions on their calls. The KPIs page also normalizes dispositions to a canonical set (connected, no answer, busy, voicemail, wrong number, do-not-call, callback requested, and unknown), and an unknown disposition is never guessed into a connection.

Do AI calls and text messages count in my KPIs?

No. The call-activity tiles on the KPIs page measure human selling activity only. AI agent calls and SMS are excluded so you see what your people are doing.

This is why your KPIs page can differ from your dashboard: the dashboard at https://app.closemagnet.com/dashboard aggregates all activity, while the KPIs page at https://app.closemagnet.com/performance isolates human selling activity by design. Compare like windows when the two do not match.

What benchmarks does the platform compare me against?

The Benchmarks card in Deal Analytics compares your recorded close rate, assignment fee and days to close with the targets shown on that screen. It reports On target, Off target or No data for the selected window.

These are built-in comparison targets, not a promise of your results or a substitute for your own operating goals. A period with no evidence stays unknown instead of being treated as a failed result.

What is cost per contract and where does it come from?

On screen it is called Cost per property under contract: marketing spend divided by the properties under contract that spend produced. It is shown per campaign and source in the Return on spend table on the Marketing tab of the KPI Dashboard at https://app.closemagnet.com/performance, and as a headline tile. It stays blank on any row with no properties under contract, because there is nothing to divide by.

Spend comes from dated ledger rows. Each entry records an exact spend date, a campaign and source picked from your account catalogs, an amount, an allocation, and optional notes. Only entries dated inside your selected window count; spend is not pro-rated across days.

That table also shows cost per lead and cost per deal beside spend, leads, deals, properties under contract, and profit. Only the account owner or your LeadAttractor team can add spend rows; other members see the ledger read-only.

Links to the app require your CloseMagnet login.

Open Full Article
Why does my Marketing tab show no headline numbers?

Headline ROI figures appear only when there is real recorded spend and a real denominator. Until you add spend rows there is nothing to divide against, so the tiles stay empty rather than showing zeros.

Add spend on the Marketing sub-tab of the KPI Dashboard at https://app.closemagnet.com/performance. Each row takes an exact spend date, a campaign and source from your account catalogs, an amount, an allocation, and optional notes. Campaigns and sources are reusable, and you can rename, merge, archive, or restore them so a typo never splits one vendor into two lines.

Only the account owner or an operator can add, edit, or delete spend rows. Other members can view them.

Why do I see a coverage warning banner on my KPIs?

There is no coverage warning banner on the KPI Dashboard. What you may see is a Partial Answer Evidence badge on the Human Talk Time by Rep card. It means some calls in the window are missing your LeadAttractor CRM's answer result, so those reps' Answered Calls show Unavailable instead of a guess. Nothing is broken, and the rest of the page is unaffected.

This is part of the read-integrity guarantee on the KPI Dashboard: a failed read shows an explicit error instead of a zero, and missing answer results are marked rather than guessed. Widen the window or check back once your LeadAttractor CRM has reported the missing call results.

Where do I find each feature in the left navigation?

The rail is one ordered list with a Voice AI divider in the middle. Above it: Ask CloseMagnet when entitled, immediately followed by KPI Dashboard, then Coaching, Comps, Properties, Transactions, Commissions, Deal Blasts, Deal Analytics, and Buyers. Below it: Dashboard, All Leads, Call Logs, Campaigns, and Voice Setup.

Two rail items collapse a family into one entry, with the rest as tabs on the page:

  • Buyers: My Buyers, Directory, Get Buyers, and Map.
  • Voice Setup: Assistants, Squads, Phone Numbers, Number Pools, Tools, and Files.

Settings is not on the rail. Reach it from the user menu at the top right. Entitled account owners see Account & Billing in the Settings submenu; regular operational members do not. An operator actively using View as client sees the same client-scoped entry, while operator-global Settings remains separate. Goals is a sub-tab inside KPI Dashboard, not its own item. Your account may not show every entry, since surfaces are enabled per account and per member.

Open Full Article
Why does my teammate see different menu items than I do?

Access is controlled per account and per member. Surfaces are enabled for your account, and the account owner can narrow individual members down to specific surfaces, so two people on the same account can see different rails.

If a teammate is missing a feature they need, the account owner can grant them access from the avatar menu, Settings, Team (https://app.closemagnet.com/settings/team) by selecting the member's row and switching the surface on. Members can only be narrowed within the surfaces the account actually has, and the account owner cannot be restricted.

Is my data isolated from other CloseMagnet accounts?

Your account permissions control which CloseMagnet records you and your teammates may access. Team access can be narrowed by surface, and owner-only settings and credential controls remain protected.

Use your own login and the account you were invited to. Keep two-factor authentication enabled, give integrations only the scopes they need, and never share a live credential or private buyer data in public documentation. If you see records that do not belong to your account, stop and report the exact screen to support without sharing the records publicly.

What happens after I sign up?

Follow the onboarding instructions sent to the account owner. The team prepares your account, CRM connection, pipelines and enabled features with you. A new account can be empty until those parts are configured and real activity arrives.

Prepare your business details, domain administrator, lead sources, staff access and chosen communication services. Use only the features whose setup checks have passed. For client-owned buyer email, start with Set Up Buyer Email.

Why is my portal empty? Is it broken?

Nothing is broken. Your portal stays mostly empty until it is built together with you on the onboarding calls. That is where your CRM, pipelines, workflows, and settings are configured for your business, so an empty portal right after signup is expected, not a bug. Once your tech-setup call is done, the account becomes usable: your email, lead sources, staff accounts, domain, and first phone number are connected and your balance is funded. If your portal is still empty after your onboarding calls, contact support so the team can check your build.

When can I start texting?

Start only after the required business/carrier registration and the sending connection are approved for your account. Your onboarding team can explain the current status and any missing business details.

SMS registration, email verification and Voice AI activation are different checks. Do not send test marketing texts to real buyers to work around a pending registration, and do not assume email readiness means SMS is ready.

How long until I go live?

Your onboarding team confirms the launch plan after reviewing your CRM, sender domains, lead sources, team access and phone setup. Book the requested calls and provide accurate business details so avoidable corrections do not hold up setup.

Voice, email and SMS have separate readiness requirements. A saved connection or completed onboarding call does not bypass sender checks, provider account restrictions or required carrier registration. Treat a proposed launch date as a target, not a delivery guarantee.

What happens on the tech-setup call?

The team works through the account setup with you: CRM connection, email, lead sources, staff access, domain and phone setup, plus the billing and usage settings that apply to your plan.

Bring accurate business details and access to the people who manage your domains and provider accounts. Sender verification and required carrier approvals can take additional time. A feature is ready only when its own checks pass, not simply because the call finished.

What is the Deal Analytics area?

Deal Analytics at https://app.closemagnet.com/analytics is your deal-outcome reporting surface. It opens on a 90-day window and carries three tabs: Overview, Buyer Analytics, and Deal Analytics.

Overview shows six KPIs: deal close rate, closed deals, average assignment fee, average days to close, average offers per deal, and fall-through rate. A Benchmarks card grades three of them against targets with an On target, Off target, or No data verdict.

The Deal Analytics tab ranks why deals fell through and lets you drill into the affected deals in each category. Buyer Analytics ranks your buyers, and List Health plus ZIP coverage show where your buyer list is thin or concentrated. Anything with no evidence behind it stays blank rather than reading as a zero.

Why did my new campaign not start dialing?

New campaigns always save Paused, and they will not dial until you put them live with the Resume button at the top of the campaign.

Open the campaign at https://app.closemagnet.com/campaigns. The Save changes card lists anything still missing under "Before you can activate this campaign, resolve:". When you click Resume, the platform checks that your account's Voice AI calling setup is in place, that the campaign has at least one eligible phone number, that your wallet balance is positive, and that the calling configuration is valid. If anything is missing, the campaign stays paused and shows what to fix. Also confirm the schedule window (which runs in the lead's local time) is open right now.

What are the three types of Voice AI campaign?

One engine covers three campaign types, all created at https://app.closemagnet.com/campaigns:

  • Outbound phone: the auto-dialer works your lead list on a cadence inside your calling window.
  • Inbound phone: one or more bound numbers are answered live by the AI, with the right assistant selected per called number in under 3.5 seconds.
  • Web voice widget: a one-line embeddable script puts a live voice channel on your website, as a corner pill or an inline orb.

The campaigns list shows each campaign's status, type, dialer mode, the live assistant or squad, its numbers, and its leads.

How do I create a Voice AI campaign?
  1. Go to https://app.closemagnet.com/campaigns and click New campaign (https://app.closemagnet.com/campaigns/new). If your plan has a campaign cap, the Campaigns list shows how many you have used (for example "2 of 5 used").
  2. Give it a name and choose its type: outbound phone, inbound phone, or widget.
  3. Work through the editor sections: General, Widget setup (widget campaigns), Schedule, Outbound behavior, Webhooks, Success Metrics, and Advanced Controls.
  4. Click Create campaign. New campaigns always save Paused.
  5. Check the Save changes card, which lists anything still missing before the campaign can go live.
  6. When nothing is missing, click Resume at the top of the campaign.

While a campaign is active or scheduled its settings are locked; click Pause to edit, save, then click Resume.

Which time zone does my campaign schedule use?

Read the saved Schedule settings on the campaign before activating it. Review the timezone option, allowed days, daily window and optional run dates together; do not assume a schedule shown for your account is automatically the same as every lead's local time.

The account owner can review the campaign configuration and pause it before changing settings. If the displayed timezone does not match the intended calling window, resolve that before resuming rather than testing on a real seller.

How many times will the AI call one lead?

By default, up to 3 calls per drop, capped at 3 per day, spaced 90 minutes apart. A "drop" is one batch of attempts on a lead.

After a drop is worked, dialing on that lead pauses until your CRM re-drops it, so follow-up is persistent without over-contacting. You can change calls per drop, max calls per day, and minutes between calls in the campaign editor's Outbound behavior section. Dialing also stops early if the lead hits the campaign's success metric or is flagged do-not-call.

Open Full Article
What makes the AI stop calling a lead?

Hitting the bound success metric marks the lead won and stops the dialing. In the campaign editor's Success Metrics section you bind a real structured-output field from the assistant, for example appointment_booked = true. When a call hits that field, the lead is marked won and the dialer stops calling it.

A do-not-call flag also stops dialing, and Smart Do Not Call auto-flags a lead the moment the callee asks not to be called. The success-metric binding validates against the assistant's actual fields, so the AI knows when it succeeded and never keeps hammering a seller who already said yes.

Can I edit a campaign while it is running?

No. Live campaigns are settings-locked. To change any setting, pause the campaign first, make your edits, then resume or reactivate.

Pausing a widget campaign also takes the website widget offline immediately, acting as a remote kill-switch. Before each dial the engine re-checks eligibility (balance, active status, daily caps, and the calling window), and any job that fails the re-check is dropped rather than dialed.

Why does a call say voicemail but I heard a person?

Voicemail detection is not perfect, so a live person can sometimes be classified as voicemail.

The voicemail-as-answered toggle in the campaign editor's Outbound behavior section controls whether a call that reaches voicemail is treated as answered. If voicemail handling looks off, check that setting on the campaign. This affects how those calls are counted, not whether the AI holds the conversation.

What are the named AI agents and what does each one do?

Calls are run by named agent personas, each built for a specific job rather than one generic bot:

  • Riley works seller follow-up and cold outreach.
  • Jordan handles booking.
  • Taylor works dispo.
  • Sam handles rescheduling.

For text and email conversations, the text agents are Sara and Casey (alongside Riley and Taylor). The assistant or squad bound to a campaign determines which agent runs it.

What does the activation readiness gate check before a campaign goes live?

The platform checks what is missing so there is no mystery about why a campaign is not dialing. When you click Resume, a campaign goes live only when it has:

  • Your account's Voice AI calling setup in place.
  • At least one eligible phone number.
  • A positive wallet balance.
  • A valid calling configuration.

If anything is missing, the campaign stays paused and you see the list of what to fix. The same list appears in the campaign's Save changes card under "Before you can activate this campaign, resolve:" at https://app.closemagnet.com/campaigns.

How do I keep cold calls from inflating my lead counts?

Turn on the cold-calling toggle in the campaign editor's Outbound behavior section. It keeps cold contacts out of the goal math so a cold campaign does not distort your New Seller Lead counts.

If a cold campaign is inflating your lead counts, the toggle is likely off. Switch it on for that campaign so cold contacts are excluded from your goal and lead figures.

What do Lead Information Extraction and Smart Do Not Call do?

Both live in the campaign editor's Advanced Controls section and are self-cleaning behaviors, each with a copyable prompt snippet:

  • Lead Information Extraction auto-captures first name, last name, and email from the conversation, so your list enriches itself as it dials.
  • Smart Do Not Call auto-flags a lead as do-not-call the moment the callee asks, so opt-outs are honored automatically.

Together they mean the AI cleans and enriches the list while it works, instead of leaving it as a separate cleanup step.

How fast does an inbound number or web widget answer a call?

Inbound calls to a bound number are answered live, with the right assistant selected for that number in under 3.5 seconds.

The web voice widget also captures the lead the instant the form submits, even if the call drops, so you do not lose the contact. For inbound campaigns you bind one or more numbers to a single inbound campaign, and binding many numbers to one campaign lets a whole set of numbers share the same inbound behavior.

Why is my website voice widget offline?

The widget campaign is paused. Pausing a widget campaign takes the website widget offline immediately, acting as a remote kill-switch.

What does each lead state mean?

Each lead shows a call status in the All Leads table (https://app.closemagnet.com/leads):

  • Queued: waiting for its turn to be dialed.
  • Calling now: in a conversation right now.
  • Finished: the lead was answered, or it worked through its full cadence with no win.
  • Won: the campaign's success metric was hit (for example an appointment booked); dialing stops.
  • Stopped: dialing was halted for this lead.
  • Invalid: the number or record could not be dialed.
  • Do-not-call: flagged do-not-call and never dialed.
  • Blocked: the dialer gave up after repeated calling failures on this lead.

How do I import a list of leads?

Most leads arrive from your LeadAttractor CRM, which drops them into your campaigns. For a CSV list, send the file to your LeadAttractor team and they import it for you. The import maps your columns (phone is required, plus first name, last name, email, and custom fields) and validates each row.

The import matches on phone, so re-running the same file never creates duplicates, and it reports which rows failed and why. If you want to push leads from another system automatically instead of a file, use the Lead API on the campaign's Manage Leads via API tab.

Open Full Article
Will re-importing the same CSV create duplicate leads?

No. CSV imports, which your LeadAttractor team runs for you, match on the phone number, and the Lead API does too, so pushing the same lead twice updates it rather than duplicating it.

Because matching happens on the phone number, if you see duplicates after an import, check that the phone column was mapped correctly. Row-by-row validation also reports which rows failed and why, so a few bad rows do not fail the whole file.

Open Full Article
How do I push leads in from another system?

Use the campaign's Lead API. Open an outbound campaign and go to its Manage Leads via API tab, which documents Add Lead, Get Leads, Update Lead, and Remove Lead with cURL, JavaScript, and Python samples already pointed at that campaign.

Authenticate with a Bearer token: either the account API token or a scoped credential the account owner mints for that integration. Send it in one header, replacing the example value with your own token:

http

Authorization: Bearer cmk_0123456789abcdef0123456789abcdef0123456789abcdef0123456789abcdef

The header name is Authorization. Its value is the word Bearer, then one space, then the token itself. A scoped credential begins cmk_ and is 68 characters long; the account API token is a 64-character string with no prefix. Send the token and nothing else: the server does not strip angle brackets and does not recognise example text, so a placeholder left in place is simply a token that does not exist.

The API includes safeguards: phone numbers are normalized and checked, and requests are rate-limited to 120 per minute per token and 240 per minute per IP. Because add and update match on the phone number, pushing the same lead twice updates it instead of duplicating it.

Open Full Article
Who can see the Lead API token?

Only the account owner can reveal or regenerate the account API token and mint scoped credentials, at https://app.closemagnet.com/settings/api. Other members can open the API tab and see the Client ID and whether the token exists, but not its value.

That page holds three things: the Client ID, which identifies the account and is not a secret; the account API token, created automatically when the account started; and any scoped credentials minted for a single integration or agent. Any member who can open a campaign can read its Manage Leads via API docs; the token is filled into the samples only for someone allowed to reveal it.

If a request returns 401, ask the account owner for the current token and retry with it in the Authorization header, as the word Bearer, then one space, then the token. Send the token itself, never a placeholder: a scoped credential begins cmk_ and is 68 characters long, and the account API token is a 64-character string with no prefix. Every route and the scope it needs is listed in the API reference, reachable from the avatar menu.

Why is a lead marked invalid?

The number or record could not be dialed, for example a malformed or unreachable phone number.

Fix the phone number and re-import or edit the lead. If you are the account owner or an operator, you can edit the lead directly from its row in the All Leads table (https://app.closemagnet.com/leads). Phone numbers are normalized to E.164 format, so a number that is not in full international form can be flagged as invalid.

How do I mark a lead do-not-call without deleting it?

Use the Do not call toggle on the lead's row in the All Leads table (https://app.closemagnet.com/leads). It stops the lead from being dialed but keeps the record, which keeps you compliant without losing history.

Per-row actions (Edit, the Do not call toggle, and Delete) are available to the account owner, who can also apply them to several selected leads at once. Other members can view the table but not change it. Smart Do Not Call can also flag a lead automatically when the person asks not to be called.

How do I filter and export my call logs?

Open Call Logs at https://app.closemagnet.com/call-logs. The log lists Customer, Type (Outbound, Inbound, or Widget), Status (Connected, Voicemail, No answer, or Not attempted), End Reason, Call ID, Phone Number, Campaign, Success Evaluation, Success Metric, Attempted At, Duration, and Your charge.

A filter dropdown narrows by status, end reason, success metric, type, IDs, test-call flag, duration range, and a dual-month date range. The list pages at 100 rows, and Attempted At, Duration, and Your charge are sortable. You can export the filtered view to CSV, and the export is injection-safe. Why did my Lead API request return a 401 or 429?

A 401 means the Bearer token is missing, wrong, belongs to another account, or does not carry the scope that route requires. The account owner can reveal the account API token or check the scopes on a minted credential at https://app.closemagnet.com/settings/api; retry with the right token in the Authorization header.

A 429 means you hit a rate limit. The Lead API allows 120 requests per minute per token and 240 per minute per IP. Slow your request rate and retry after a short pause.

What is the difference between local-presence and round-robin rotation?

A pool is a group of numbers the dialer draws from, with a rotation strategy that decides which number is used for each call:

  • Local-presence rotation picks a caller ID whose area code matches the lead, then falls back to the least-used number. Area-code matching lifts pickup rates because the call looks local to the person receiving it.
  • Round-robin rotation spreads calls evenly across the numbers in the pool.

If pickup rates are low on out-of-area leads, switch the pool to local-presence rotation. Pools are created and edited inside the campaign editor.

What is a per-number daily cap and why set one?

A per-number daily cap is the maximum number of calls a single number may place in a day. Caps spread volume across your numbers and keep any one number from being over-used, which protects deliverability and number health.

You set the cap on the pool inside the campaign editor. A pool with no cap shows the infinity symbol on the Phone Numbers page and rotates without a per-number ceiling. If one number is getting overworked, set a per-number daily cap on its pool.

The Number pools table there lists each pool with its name, its campaign (or "Shared (client-level)" for a pool not tied to one campaign), its strategy (Local presence to RR or Round-robin), its daily cap, and how many numbers it holds. To build or edit a pool, open the pool-mode campaign in the editor.

What does the Import column on the Phone Numbers page tell me?

The Import column tells you whether a number is present in your live voice AI inventory:

  • Imported: the number is present in your live voice AI inventory.
  • Linked id: it is linked by id but not seen in the live inventory.
  • Not linked: it has no voice AI id yet.

If a number shows "Not linked," ask your operator to import and link it. If it shows "Linked id" but not "Imported," use the Refresh control; if it persists, ask your operator to re-import.

Why is one of my numbers marked inactive?

Its status is not active in your inventory. An operator manages number status and import, so ask them to confirm the number is imported and active.

The Numbers table on the Phone Numbers page (https://app.closemagnet.com/phone-numbers) shows each number in E.164 format, its area code, its status (active or inactive), and its Import state. Numbers are imported into your voice AI account for you, so status and import are operator-managed rather than self-serve.

Why are my outbound pickup rates low?

A common cause is round-robin rotation on out-of-area leads, because the caller ID does not look local to the person receiving the call.

Switch the pool to local-presence rotation so the dialer picks a caller ID whose area code matches the lead. Area-code matching lifts pickup rates because the call looks local. Setting a per-number daily cap also protects number health, which supports deliverability over time. Pools are edited inside the campaign editor.

Are all my calls scored, or only some?

Every answered call is eligible for a 0-to-100 score with a written coaching summary. Two guards apply: unanswered calls never enter coaching, and automatic scoring skips calls shorter than the minimum length (default 60 seconds).

You can also manually generate or regenerate a score on any call that has a transcript, and manual generation ignores the minimum length. The coaching surface is at https://app.closemagnet.com/coaching, with tabs for Overview, Team Rep Calls, AI Calls, Team Roll-Ups, Rep report, Deal scoring, and Settings.

Why was a particular call not scored?

Most often the call was unanswered (unanswered calls never enter coaching), it was shorter than the 60-second minimum, or auto-summarize is off.

If the call was answered, at least 60 seconds long, and has a transcript, you can score it manually: open the call in Coaching (https://app.closemagnet.com/coaching) and generate the score, which ignores the minimum length. If it is a CRM call with no transcript, confirm Call Recording and Call Transcription are both on in your CRM.

An unrecognized caller is never the reason. When no name is known, the Name column shows the phone number instead, and the call is scored the same way.

Why do only answered calls show in coaching?

The answered-only rule is enforced at multiple layers so your coaching scores reflect real conversations, not dead dials and voicemails. That is what makes a rep's average meaningful.

Voicemails, missed, and unanswered calls never enter coaching by design, regardless of your CRM settings. They still count as activity in your KPIs; they just do not become coachable, since there is no real conversation to score.

Open Full Article
Why are my CRM calls not showing up in coaching?

Answered calls from your CRM mirror into coaching automatically only when recording and transcription are both turned on in your CRM. Turn both on so calls arrive with a recording and a transcript ready to score.

Recordings can also arrive late. When your CRM publishes one after the fact, the platform retries in a five-minute window and a daily sweep re-checks the last 48 hours, so the call fills itself in. If a transcript is still missing but a recording exists, turn on Transcribe eligible recordings in Coaching -> Settings and the platform transcribes it for you.

These settings apply going forward; turning transcription on today does not retroactively transcribe calls made while it was off.

What is the 60-second minimum call length for?

Automatic scoring skips answered calls shorter than the minimum length (default 60 seconds) because there is not enough conversation to coach.

Shorter answered calls still count in your KPIs as activity; they are just not auto-scored. Manual scoring ignores the minimum, so you can still generate a score by hand on a short call that has a transcript. You can change the minimum-length setting in Coaching -> Settings (owner or operator).

What does auto-summarize do and why is it off by default?

Auto-summarize scores and summarizes answered team rep calls automatically. It ships OFF (in Coaching -> Settings) so there is no AI spend on team calls until you opt in. While off, manual summarize is always available.

Turn it on to score answered team rep calls automatically. Auto-scoring of AI agent calls is a separate toggle, also off by default. Coaching AI runs draw from your credit wallet at 1 credit = $0.01.

Do my AI agents' calls get scored too?

Yes. The AI Calls tab in Coaching scores your AI agents' own calls on the same 0-to-100 scale, so your bots are held to the same standard as your humans.

Each AI call shows name, address, phone, outcome, duration, score, and a win flag, and its drawer carries the coaching score and breakdown, the AI's post-call summary, the structured data, the recording, and the transcript. Automatic scoring of AI calls is controlled by its own auto-score toggle in Coaching -> Settings, which is off by default.

How do I coach a call from Zoom, Google Meet, or Fathom?

Send it in through the external transcript webhook. POST to https://app.closemagnet.com/api/v2/coaching/calls with your CloseMagnet API token in the Authorization Bearer header. Include who made the call, the required transcript and source, a stable external_call_id, and the real called_at timestamp on every request. Phone and unknown sources also require direction (inbound or outbound); known meeting sources may omit it, and an unknown meeting provider must send interaction_type: meeting.

Zoom, Google Meet, Fathom, and more are supported. Once accepted, the call is auto-summarized when auto-summarize is on, or you can open it and click Summarize. In-app webhook docs (endpoint, headers, JSON and cURL examples) are at Settings -> API -> API reference.

Can I add a call to coaching by hand?

Yes. The account owner or an operator can add a team call manually. In CloseMagnet, go to Coaching -> Team Rep Calls, click Add call, and fill in the details: the rep who made it, the contact, and the transcript.

A transcript is required, because the coach reads the transcript to score and critique the call. A manually added call does not summarize automatically; when you want the score and summary, open the call and click Summarize. Calls can also be edited (changes are diffed) or deleted.

What do Hot, Warm, and Cold mean on the Deal scoring tab?

The Deal scoring tab ranks your in-window conversations by how likely they are to close:

  • Hot: a score of 75 or higher.
  • Warm: 40 to 74.
  • Cold: under 40.

Each band shows a count, and each deal carries a rationale in its drawer. Scoring runs across every in-window human call that has a transcript, and it never clobbers existing coaching summaries. This points your team at the deals most likely to close instead of the loudest lead.

Does call coaching cost me anything?

What are Team Roll-Ups and the Rep report in coaching?

Both are AI-written coaching reports in the Coaching surface (https://app.closemagnet.com/coaching):

  • Team Roll-Ups: ranks your reps by average score over Today, Yesterday, Last 7 days, Last 30 days, All time, or a custom range, and drills from the team down to one rep.
  • Rep report: writes a coaching narrative for one employee across their calls over the window you pick.

Every run is kept as immutable history with its own stable ID, so generating a new report never overwrites an older one. Each tab lists its saved history, all-time and paged, and opening an entry reopens that exact snapshot.

Why is a recording missing right after a call?

A CRM can publish a recording after the call itself appears. CloseMagnet checks for late recordings, so a recent call may fill in later without you changing it.

If the recording remains missing, confirm Call Recording is enabled in the source CRM and ask support to check that exact call. Do not assume a missing recording proves the call was not answered or that the provider never created one. A transcript and a recording are separate pieces of evidence.

Where did my old coaching reports go?

Nowhere. Saved coaching reports are immutable history: each run gets its own stable ID and link, and generating a new report never overwrites an older one.

Open Coaching at https://app.closemagnet.com/coaching. The Team Roll-Ups tab lists its saved roll-ups and drills from the team into a single rep. The Rep report tab lists that rep's saved history, all-time and paged. Pick any entry to reopen the exact snapshot written that day, with the same scores and the same narrative it carried then.

Because snapshots are frozen, a later re-score or a newly added call never changes what an older report says.

Why does a call show a phone number instead of a name?

The Name column falls back to the phone number when the caller is not known yet. It is shown in a muted style, so the cell never claims the number is a real name.

This happens when the contact has no name in your CRM, or when the call arrived before the contact record was filled in. Nothing is wrong with the call: its recording, transcript, and score are unaffected.

Once the contact is known, the name fills in on its own and the column shows it instead.

Where does the ARV on a comp come from?

The comp engine provides an Engine ARV and an ARV range, shown on the comp's Overview tab under Offer Report Values, next to the as-is value, monthly rent, and the confidence score.

You can set your own working number, the Determined ARV. On the Comparables tab, tick at least two comparable sales you trust, click Save Comparables, then Apply ARV to Offer Analysis. You can also type the Determined ARV on the Offer Analysis tab. Until you save your own, the offers use the Engine ARV. If the range feels wide, check the confidence score and treat the comp as triage, not a final value.

What are the three offer bands on a comp?

Comps no longer use three offer bands. Your offers are calculated under four exit strategies: Quick Cash, Fix & Flip, Novation, and Buy & Hold. They appear as cards in the Offer Strategy Summary on the comp's Overview tab and in detail on the Offer Analysis tab, and they recalculate from your saved ARV, rehab, and assumptions.

The engine's own Cash Offer, Open-Market Offer, and MAO still appear on the Overview tab under Offer Report Values, as read-only reference numbers. If your offers look wrong for a property, check the Determined ARV on the Comparables tab and the Effective Rehab on the Rehab tab.

Can I change the repair number on a comp?

Yes. Open the comp and go to its Rehab tab. Set Source to AI Estimate, Checklist Estimate, or Manual Amount, adjust the checklist items if you use one, and click Save Rehab. The amount you chose becomes the Effective Rehab.

The Effective Rehab drives every offer strategy (Quick Cash, Fix & Flip, Novation, and Buy & Hold), so they recalculate against the number you saved. You can also enter a Repair estimate on the Run a comp form before you run it.

Is a comp the same as an appraisal?

No. A comp is a triage tool, not a licensed appraisal. It is built to tell you fast whether a deal is worth pursuing and roughly what to offer. It does not replace a formal valuation or a licensed appraiser.

Use it for triage and offer math, not as a certified value. This applies to the ARV, the as-is value, and every offer number on the comp.

Do I have to sync my buyers to my LeadAttractor CRM manually?

No. Buyers sync automatically to your LeadAttractor CRM on every in-app path that creates or changes a buyer. There is no sync button.

Every time a buyer is saved, the buy-box is written back to the linked LeadAttractor CRM contact. This happens on adding a buyer, CSV import, editing and saving, a Directory pull, a Get Buyers pack, the intake API, and offers submitted on a deal page. The sync never blocks your save: if your LeadAttractor CRM does not answer, the buyer is still saved and shows a "sync pending" note, and saving the buyer again pushes the update.

What happens to a Do-Not-Call buyer?

A Do-Not-Call (DNC) buyer is suppressed from all outreach but never deleted. The record and its history stay in your list, so you remain compliant without losing information.

What does it cost to reveal a directory buyer?

A flat 10 credits, which is $0.10 (1 credit = $0.01). Pulling a buyer copies their contacts into your own buyers list: the buyer is created or merged with one you already have, tagged "directory buyer," and linked to a LeadAttractor CRM contact.

To pull one, open the Directory tab on the Buyers page (https://app.closemagnet.com/directory), find the buyer on a card (contacts stay hidden), and click Reveal & pull into my buyers. What is the difference between the Directory and Get Buyers?

The Directory lets you pull proven buyers that already exist in a shared pool of cash buyers discovered across the platform. You can filter it by market, buyer type, number of deals, average price, and last purchase, 100 cards per page. You pull one for a flat 10 credits ($0.10), and their contacts copy into your list.

Get Buyers searches property records in a market you define (a radius of 1 to 50 miles around a city and state or around specific ZIP codes, or no radius), groups those records into likely buyers, and adds reachable new buyer profiles. Its filters describe the buyer you want: buyer types, buyer activity, ownership structure, portfolio strength, and the property they acquired.

The count is free. One durable pack processes 1 to 2,000 property records. Property records and successful new contact matches are metered separately. The estimate prices the requested pack, and the completed progress card shows your recorded final charge.

Will Get Buyers charge me for buyers I already have?

LeadAttractor de-duplicates known buyers before contact matching whenever possible, so it does not intentionally buy the same contact match twice. Property records are metered separately, including records that later cluster into an existing buyer or do not produce a reachable contact.

The count is free. The estimate prices the requested property-record pack. Successful new contact matches can add charges while the pack runs, and the completed progress card shows your recorded final charge.

A pack finishes as completed, degraded, or failed, and the card names which. Degraded means it completed with issues, so fewer buyers landed than the estimate implied. The number of buyer profiles added can always be lower than the number of property records processed.

How much skip tracing is included, and what happens to Do-Not-Call numbers?

Skip trace finds a phone number for a buyer that does not have one. 50 skip-trace matches are included each month. You are charged for matches, not attempts, and beyond the included allowance traces draw from your wallet.

To run one, open the buyer's profile and click Skip trace (account owner). Every traced phone carries its compliance flags, and flagged numbers (Do-Not-Call, TCPA, or litigator) are locked so they are never dialed. Results are written back to your LeadAttractor CRM after the trace.

What is the Map tab in Buyers?

The Map tab is a buyer discovery map. Go to Dashboard -> Buyers -> Map (https://app.closemagnet.com/buyers-map) to see recent investor purchases plotted across any market you search.

Orange pins are available directory buyers, and brand blue pins are buyers already saved to your list. Above 100 pins, nearby ones group into a numbered cluster, and a split-color marker means that group holds both types. Click a cluster to zoom in.

Search a place in the address box, drag the radius slider, or pan the map to reload the buyers in view. The Map and Satellite toggle changes the base layer, and the Buyers in view panel filters to all buyers, available only, or your buyers. From there, drag the radius slider from 1 to 50 miles around the anchor, or pan and zoom and the map reloads whichever buyers are in view. Narrow by purchase date when you only want recent activity.

Adding an available buyer from a map pin is the same billed reveal as the Buyer Directory. Your charge is a flat 10 credits, which is $0.10 (1 credit = $0.01). Buyers already on your list are free to open, and revealing the same buyer twice never double-charges.

How does buyer matching rank buyers?

Matching reads your whole buy box, including the free-text fields. Investor notes, perfect deal, and deal breakers all count, not just the dropdowns and the number ranges.

A blank field never excludes a buyer and never counts against them. Only two things remove a buyer outright:

  • Do not contact: a buyer marked Do not contact is held out of matching and outreach.
  • Deal breaker conflict: the buyer wrote a rule this property plainly violates.

Everyone else is scored and ranked. Scoring is coverage-normalized, so a buyer who filled in three fields and hit all three is not buried by a buyer who filled in thirty and half-missed. That ranking is then reranked and sorted into tiers, each with a short explanation of why the buyer landed there. VIP is a yes or no setting on each buyer; you set it, or the account owner can run VIP promotion from the Buyers settings gear to promote buyers from their closing history, with an optional LeadAttractor CRM update.

Buyer Details holds the price and property criteria. Deal Preferences and Notes holds the free-text investor notes, perfect deal, and deal breakers that matching reads.

Every field is editable in place by the account owner. Save, and the buy box writes back to the linked LeadAttractor CRM contact automatically.

How do I send a blast to only the right buyers?

What do Blast Results and Offered mean?

Open a blast to see its numeric Blast Results and recipient list. Sent, Delivered, Opened, Clicked, Replied and Offered describe different recorded outcomes; selecting a result helps you find the matching buyers.

Offered means a recipient submitted an offer on the deal. A send alone is not an offer or a delivery receipt. The recipient list separates email/text outcomes and lets you inspect the actual message, buyer profile and CRM contact where available.

Queued or held recipients can still need review. Read the named reason instead of assuming everyone in the original audience was sent a message.

Will Do-Not-Call buyers get my blast, and what is the Send Window?

Do-not-contact, CRM do-not-disturb and the stored channel/compliance restrictions are checked before outreach is released. A recipient held out of a channel keeps a reason; selecting an audience does not override suppression.

The Send Window defines the allowed hours and timezone. Review the current saved settings for your account rather than assuming one universal window. Email pacing, daily/provider allowances and SMS restrictions can independently hold a queued message.

The optional external DNC/litigator scrub is a separate paid SMS check. It is off unless selected and shows the maximum credit quote before it runs. Turning it off does not disable your stored or CRM suppression.

Can buyers see my ARV on a deal page?

Only if Show ARV on the public page is on for that deal. It is on by default. Turn it off and the estimated spread is not computed on the public page either, so hidden numbers never leak.

Set Show ARV on the public page and Show estimated repairs on the public page on the property's Deal Page tab (?tab=deal-page). If buyers say the email had no ARV, Show ARV is off for that property.

Are custom white-label domains only on higher plans?

No. Custom domains are available on every plan. Your site and every deal page can run under your own brand's web address.

Your site runs on the platform host (https://deals.closemagnet.com/{your-slug}) or on your own custom domain. With a custom domain, the site sits at the hostname you choose and each deal page at https://{your-hostname}/deals/{deal-slug}. Set the Public web address (slug) and Custom domain on the Properties Website tab.

To connect a custom address, enter it on the Properties Website tab and select Save settings. The Custom domain setup panel gives you an exact TXT record to add at your DNS provider. Select Verify domain after adding it. Once the TXT record is found, the panel shows the exact routing record: an A record for a root domain or a CNAME record for a subdomain. Add that record and select Verify domain again. A root record often uses Name @, while a subdomain's Name depends on the DNS zone you are editing; use the exact Name and Value shown in the panel. If hosting requires another verification record, the panel will show it.

The custom address also needs domain registration, verification, HTTPS, and website activation before it works. Refresh status checks an existing setup's progress but does not start a new hosting registration. If the page still does not load, contact CloseMagnet support to check the hosting connection; the platform host keeps working meanwhile.

What happens when I accept an offer?

Accepting an offer asks you to confirm first. It moves every other active offer on that property to Backup, and it moves the deal to Buyer Lined Up if the deal was at or before Marketing; otherwise the stage stays where it is. The message afterwards names the exact stage, for example "Offer accepted. Deal moved to Buyer Lined Up." Accept only works once the offer's terms are complete.

Offers live on the property's Offers tab (?tab=offers). Adding one starts with a full buyer search in the Buyer field, then a required Funding type (with Other funding details where it applies), the offer amount, Close by, an Earnest money deposit (EMD), EMD due, and Inspection end. Set the property minimum EMD first, because offers cannot be added until it exists.

Four price-relation statuses are set automatically from the amount against your asking price. Negotiating, Backup, and Not accepted you set with the buttons on the offer card, and Accept is the only one that can move the deal's stage.

How many stages does a deal move through, and when can I publish it?

Every property moves down a ladder of 15 stages from New Deal to Closed, plus two end states (Fell Through and Dead), for 17 in total. Setting Fell Through requires a reason so your fall-through analytics can show why deals die.

You do not have to publish it yourself. Every deal is published automatically when it is added, at any open stage. The deal shows on your site while your website is live, buyer visibility is on, the deal is not Closed, Fell Through, or Dead, and its offer deadline has not passed.

Buyer visibility is a separate single control on the deal, reading "Buyer visibility enabled" or "Buyer visibility disabled". Turning it off hides the deal from buyers. Taking the deal off the site entirely is a distinct action, Remove from public site, under More actions. Publish deal on the property's Deal Page tab puts a removed deal back.

Why can't I move a deal to closed?

There is an earnest-money hard gate, and it covers more than the last step. Buyer EMD, Pre-Closing, Clear to Close, Closing, and Closed each require an accepted offer with its earnest money received. The gate is enforced, not advisory.

To clear it, accept an offer on the property's Offers tab, then click Mark EMD received on that accepted offer once the buyer's deposit arrives. A deal at Buyer Lined Up, Assignment Executed, or Double-Close Set moves to Buyer EMD, and the message names the exact stage.

The transaction coordination workfile also tracks the two deposits (Seller EMD and Buyer EMD) separately, each with its own amount, holder, deadline, and funded state.

Every deal is published to the catalog automatically when it is added, and it appears while buyer visibility is on, your website is live, the deal is not Closed, Fell Through, or Dead, and its offer deadline has not passed.

How do buyers register and submit offers on my website?

Buyers join through the Buyers Club form on your site, and they submit offers directly from any property page. Identity is phone-first: the phone number is what the platform matches on, so a returning buyer is recognized rather than duplicated.

The offer form collects the buyer's details, the offer amount, and an earnest money deposit that must meet the property minimum EMD you set. The form shows that minimum and tells the buyer they may increase the amount.

Every registration and offer syncs to a contact in your LeadAttractor CRM and raises a notification in the app. Review what came in on the buyer's record, where Buyers Club registrations and public offers are listed together.

Why can't I activate my website yet?

Because a required field is still blank, and the panel names the exact ones. You see a message in the form "Website not activated. Complete a Website address, Legal business name" that lists every missing item by name.

The required set is your Website address plus six legal details:

  • Legal business name.
  • Legal contact email.
  • Legal phone.
  • Legal mailing address.
  • Governing state.
  • Governing county.

Your other edits are never lost while the site stays safely off. Saving an incomplete form still stores your brand, About, and Deals content, then tells you the website remains off until you complete the missing fields, turn it on, and save again.

How do I edit my website's brand and content?

Open Dashboard -> Properties -> Website and edit it there. The editor is grouped into your brand, the Deals page, Buyers Club content, About, contact details, legal details, the approved claims, and the header call to action.

Content does not start empty. Every account is prefilled from one shared defaults source, so your Buyers Club headline, subhead, supporting copy, and button label read sensibly before you touch them. Editing replaces only what you change.

The four approved claim texts are prefilled too, but every one stays disabled until you enable it, so nothing appears publicly as a claim you did not switch on. The header call to action can point at Join Buyers Club or a live property you pick.

Where do I manage my public website?

On the Properties surface, not in Settings. Go to Dashboard -> Properties and open the Website tab (https://app.closemagnet.com/properties?view=dealsite). That one tab owns everything public: the Website address, activation, brand and content, legal details, claims, and each deal's publication and buyer visibility.

The Properties surface carries five tabs: Deals, Offers, Contracts, Website, and Integrations. API and webhook documentation lives under Integrations, and e-sign guidance sits with Contracts, so each concern has exactly one home.

Settings (https://app.closemagnet.com/settings) is a separate area for your account, holding Account & Billing, Team, API, Agent Drafts, and Webhooks. There is no website management there.

What is the readiness check on a new deal blast?

The composer helps you review the audience, property facts and message before sending. Missing photos, a description, price or a small audience can be highlighted so you can improve the deal presentation.

Advisory property checks are separate from hard sending requirements. The chosen sending route, sender, applicable pacing and channel checks must be ready. For client-owned email, saving SMTP settings is not enough: receiving and delivery tracking must also be verified. Read the named setup requirement rather than bypassing it with another sender.

Open Full Article
Where do I see whether each buyer actually got my blast?

Open the blast and inspect its recipient list. Each buyer has separate email/text status and recorded engagement, with the actual message available to review. Sent means submitted; Delivered requires matching delivery evidence. An open, click, reply and offer are separate results.

Use the Deliverability tab for account-level email statistics. Use Settings for sender verification, connection details and pacing. A verified sender is not proof that every health event is covered, and an absent receipt should not be turned into a Delivered claim.

Reviewing a protected message preview does not create buyer engagement. A real buyer opening or clicking the actual sent message is a different event.

What is the external Do Not Call scrub on a blast?

It is an optional paid check against external Do Not Call and litigator lists, run before your SMS goes out. Turn it on in the composer with "Scrub phones against DNC / litigator lists before SMS". It stays off unless you switch it on.

You get a quote first. The quote counts your eligible unique phones, multiplies by the per-phone credit price, and shows the maximum credits it could cost. You consent to that quote before anything runs, and the quote expires, so a stale one is refreshed and rechecked before SMS is released. The final charge can land lower after suppression.

With the scrub off, your CRM do-not-disturb and stored suppression still apply. An audience is capped at 5,000 recipients.

What do the buttons on my Properties list do?

They let you start the next piece of work without opening the property first. Each property gets its own row carrying its stage, key dates, and its own actions, so you can scan the list and act straight from it.

Two actions sit inline on the row:

  • TC: Open TC when the property has a workfile, View prior TC for an earlier cycle, or Start TC to open a new transaction coordination workfile and take you into it.
  • Comp: Run Comp pulls a fresh comp on the property, or View Comp opens the one you have.

The list also carries an Inspection ends column, so a deadline that is close or already past is visible without drilling in. A comp is a triage tool, not a licensed appraisal.

How do I record JV compensation on a deal?

Set it on the property's JV card. Compensation is owned by that single card so competing controls cannot disagree about how you get paid. Open the property from Dashboard -> Properties and edit its JV details.

Start with the Compensation field and pick how the deal pays. Choosing Percentage split reveals an "Our split %" field. Choosing Flat partner fee reveals a "Partner fee" amount instead. Only the field matching your choice appears, so a deal never carries both a split and a fee.

The rest of the card records the partner side: the partner company, the JV partner contact, whether the JV agreement is signed, who holds the contract, and who assigns to the buyer.

How do I connect Mailgun to the Buyer Email Inbox?

Open Deal Blasts -> Settings (gear) -> Email Sending -> Add Client Email, then choose Mailgun and Direct Provider Receiving. Prepare your client-owned account, verified domain, sender/reply addresses, actual region and provider allowance.

Enter credentials only in the protected fields. Save a draft, then use its exact Provider Setup Endpoints for the receiving route and separate delivery-event feed. Saving is not activation, and no IMAP mailbox is needed for this native path.

Follow Set Up Buyer Email for every field, route, verification step and the controlled two-way conversation test.

How do I connect SendGrid to the Buyer Email Inbox?

Choose SendGrid and Direct Provider Receiving in Deal Blasts -> Settings -> Email Sending -> Add Client Email. Prepare the authenticated sender domain, receiving hostname, SMTP credentials and the required signed receiving and delivery-event configuration.

Inbound Parse handles incoming mail. The signed Event Webhook handles outgoing delivery events. They have different endpoints and verification settings; do not use one as proof of the other. Saving the draft does not activate it.

Follow Set Up Buyer Email for the complete SendGrid checklist and controlled conversation test. Confirm the selected provider plan's actual capabilities before buying an upgrade.

What tests remain before I can use my connected buyer email?

First complete the receiving, sender, delivery-tracking, opt-out and provider-limit checks shown for your saved connection. If Receiving Check Required is shown, CloseMagnet support must finish that check before activation. A successful SMTP login is not proof that replies or receipts work.

Then use a team-controlled inbox for a bounded real test: send from CloseMagnet, confirm the exact-message delivery receipt, reply externally, answer inside the same CloseMagnet conversation, and reply again. Check the actual sender and Reply-To, threading and one small allowed attachment.

For blast opens, clicks and reply totals, use a separately authorized test blast and its actual sent link. An ordinary New Email is not automatically a blast, and an operator preview must not add buyer activity. See Set Up Buyer Email.

When does a transaction coordination workfile get created?

Automatically. One workfile is created per property, the moment the deal exists (and by the time it is under contract), so coordination never depends on someone remembering to spin one up. You never create it by hand.

It appears on the Work Files tab in the Transactions surface (https://app.closemagnet.com/transactions), sorted with active files first and then by closing date, carrying checklist and at-risk badges. Open it to work the Checklist, Overview, Title and Escrow, Parties, Documents, and Comm Log panels; a flip file adds a Fix and Flip panel. Access is gated per member, so a teammate who is not permitted to work transactions cannot open or change a workfile.

What date should I enter first on a workfile?

The ratification date, on the workfile's Overview tab. The deadline engine uses it to compute most task due dates, so setting it correctly puts the whole schedule on the right timeline.

Due dates are computed from a real anchor plus an offset. The anchors are the ratification date, the inspection deadline, the closing date, or the moment the deal enters a stage. Enter the closing date next: a double close or a flip keeps both legs as First Closing Date and Second Closing Date, and every date reads in your account timezone. The workfile header summarizes Exit Type, then that closing date, then Contract Price.

If task due dates look wrong or empty, the ratification date or another anchor is usually not set yet.

Why are there two earnest-money deposits on a deal?

Because a wholesale or double-close deal has two: the seller-side EMD you put up, and the buyer-side EMD your buyer puts up to you. Losing track of either is a common way deals fall apart.

They are tracked as two separate cards on the workfile Overview tab, each with its own amount, holder, deadline, and funded or received badge. The buyer-EMD gate is a hard gate in the deal ladder: the deal cannot advance through the buyer-EMD stage toward closed until it is satisfied. Enter each deposit's details and mark it received once it funds.

How do external emails to sellers and buyers get sent from a workfile?

Never automatically. You trigger a one-click template, then a compose-before-send modal shows you the exact email with merge fields resolved, an editable subject and body, a fixed recipient, and a wire-fraud warning footer that is always appended. You approve the exact message before it goes out.

Only internal team notifications (including the five deadline alarms and event-driven notices) go out on their own through the platform mailer. The wire-fraud footer reminds the recipient to verify wire instructions and cannot be dropped. Every send is recorded in the Comm Log with its delivery status.

Does the AI contract audit change my contract data?

No. The AI contract audit only fills fields that are still empty and flags mismatches for your review. It never overwrites a value you already entered.

The audit reads the newest executed purchase contract PDF, extracts 17 fields with a confidence level on each, then auto-fills only the empty Contract-Info fields, flags high, medium, or low mismatches between the contract and the deal, and pre-answers the Contract Audit checklist items as pass, fail, or unclear. Treat it as a second set of eyes that catches errors a human skims past, not a replacement for reading the contract. It draws from your credit wallet based on AI usage (1 credit = $0.01).

How does a Fix and Flip project get created?

Automatically, when a Fix and Flip deal closes. When a property whose exit strategy is a flip closes, its rehab project opens in the Fix and Flip portfolio (https://app.closemagnet.com/transactions?view=flip), one project per closed cycle, without anyone spinning it up by hand.

If no project appeared, confirm the deal's exit strategy was a flip and that it has closed. For an older transaction from before this feature, a financial manager can run a guarded repair that creates only the missing project. The project opens on the Overview tab of an eight-tab workspace.

What do the four money states on a budget line mean?

Every Fix and Flip budget line tracks money in four states:

  1. Estimate: what you expect the line to cost.
  2. Committed: what you have committed to a vendor.
  3. Invoiced: what has been billed to you.
  4. Paid: what you have actually paid.

The canonical budget rollup follows one rule: the furthest financial fact wins, so the newest, hardest number always surfaces. An invoice above a stale commitment flags the line over-budget immediately instead of hiding the overage. Change orders are first-class, audited events, and a reason is required on any financial, vendor, or status edit.

Where do I manage property access codes, and who can see them?

Manage property access details on the Fix and Flip project's Vendors and Property Ops tab. These are sensitive details: only an authorized owner/admin should reveal a complete code, and the application can show a masked value to other readers.

Do not paste access codes into public notes, AI prompts or support screenshots. If you cannot reveal a code, check your actual role and ask the owner rather than trying to work around the permission.

Does the AI inspection cost money?

Yes. The AI inspection extraction is a metered AI run that you confirm explicitly before it starts, and it draws from your credit wallet based on AI usage (1 credit = $0.01). A retry never charges you twice.

On the Fix and Flip Inspection tab, upload the inspection PDF (up to 20MB) and confirm the billable extraction. The AI reads the document and extracts findings across seven sections with confidence levels. A run that says "partial" means some pages could not be processed; review what was found and add the rest manually.

Where do commissions come from, and what are the four dollar states?

Commissions come from your recorded closings. When a closing event is recorded on a deal, the engine computes the commission from your plan (the deal code, role, calculation basis, and rate) and it appears on the ledger. Nobody types the numbers into a spreadsheet.

Each entry shows one of these statuses: Pending (the entry exists, but no closing event has been recorded yet for that close), Earned (the closing event is recorded; base pay, bonuses, and adjustments start here), Approved (the account owner or a workspace admin approved it), and Paid (the owner or an admin marked it paid). A fifth status, Forfeited, is used only for quarterly square-ups, when the member is inactive or no longer on the team at Mark paid, or is not eligible when the quarter is settled. Commissions are real dollars, not credits, and the ledger is append-only. If a commission did not appear, confirm the closing event was recorded and a deal code matches the role and exit.

Can I change the commission rates, and can my reps see each other's pay?

Yes to changing rates. The account owner or a workspace admin can set every deal code's rate, calculation basis, role, and eligible exits in Commissions -> Plan Settings. There are ten built-in codes: Assignment Deal, Rehab / Flip Deal, Acquisitions Pass-Off, Follow-Up Pass-Off, Streak Week, Listing Commission, TC Per Transaction, Lease Renewal, Lease New / 2-Year, and Disposition - Wholesale. Built-in starting rates include assignment at 6 percent, acquisitions pass-off at 5 percent, follow-up pass-off at 3 percent, and listing at 25 percent. Every code can be overridden per member, starting today or later.

No to reps seeing each other's pay. A regular member sees only the Statements and Individual Settings tabs, and only their own rows. The Team Commissions tab and the on-screen Payout report table are visible only to the account owner and workspace admins.

How does a flip commission work across two closes?

A two-close flip commission pays on a configurable first-close basis (default $10,000) at the first close, with the plan and rate locked in at that point.

At the second close it trues up: the total commission equals the actual deal profit multiplied by the final rate, minus the first-close commission already earned. A quarter tier difference is handled as a separate square-up. Because the ledger is append-only, the first close, second close, and square-up stay as distinct rows, badged First Close, Second Close, and True-Up, and duplicates or out-of-order events never duplicate earnings. If a second close looks wrong, confirm the first-close basis and the tier band in Plan Settings. (Example figures are operator examples. Not typical, representative, or guaranteed.)

How do I use the workfile checklist?

Open the workfile and start on its Checklist tab. Each card carries a Done checkbox, an assignee selector, a Not Applicable control, and its own note, and the four never overwrite each other.

Work a card with these controls:

  • Done: the checkbox at the left of the card; click it again to reopen.
  • Assignee: the selector on the right, listing confirmed member names and their status.
  • Not Applicable: the circle-slash button, separate from Done, for work this deal never needs.
  • Note: type into "Add a note for this card" and click Save.

If a save fails, your draft stays in the box and mid-save edits are kept, so you can click Save again without retyping.

What is the difference between my plan and my wallet?

Your plan (Starter, Professional, or Scale) is your recurring monthly platform fee, billed through Stripe. The wallet is separate prepaid usage credit, at 1 credit = $0.01, that the metered features draw from.

The wallet is consumed by Voice AI calls, skip trace, the DNC scrub, Get Buyers, Directory pulls, and AI usage. You add credits by buying credit packs. See your Wallet balance, Usage this month, Total purchased, and Voice pricing on the Account & Billing tab of Settings (click your avatar, then Settings; https://app.closemagnet.com/settings/billing), an account-owner surface.

What draws credits from my wallet?

The credit wallet (1 credit = $0.01) is drawn down by:

  • Voice AI calls: billed at your account's voice rate, shown as Voice pricing on Account & Billing, after each connected call settles.
  • Call transcription: metered per audio minute when the platform transcribes a recording your LeadAttractor CRM did not transcribe.
  • Skip trace: 50 matches included each month, then metered from the wallet.
  • DNC scrub: the optional per-phone Do-Not-Call and litigator check on Deal Blasts.
  • Get Buyers: property records and successful new contact matches, metered separately.
  • Directory pull: 10 credits ($0.10) per buyer.
  • AI usage, for example AI Buyer Search, blast personalization, coaching, contract audit, and inspection extraction.
  • AI Comp: each comp after your plan's free comps for the month, at a flat price of 100 credits ($1) by default.

All AI runs on the platform's AI keys and is billed from your wallet.

How much are voice minutes?

What happens if my card is declined?

It depends on which payment failed.

If your plan payment fails, the account lapses: team members are signed out, sign-in shows that access is paused, and active campaigns pause. Dunning emails go out on day 0, day 1, and day 7, each with a link to update payment. Once the invoice is paid, access is restored automatically; resume your campaigns by hand. Nothing is lost while an account is lapsed; it is paused, not deleted.

If an auto-refill charge is declined, auto-refill switches itself off and you get an email to fix the card; your account stays open. And if your wallet simply runs out, the Account & Billing page shows "Metered activity paused": account and billing access stay available so you can buy a pack, but Voice AI and other metered work stay paused until the wallet has a positive balance. For a billing dispute, refund, or cancellation, that goes to a human on the LeadAttractor team.

How do I top up my wallet and turn on auto-refill?
  1. Click your avatar, then Settings, then Account & Billing (https://app.closemagnet.com/settings/billing). This is an account-owner surface.
  2. Review your Wallet balance, Usage this month, and Voice pricing at the top.
  3. In the Buy a pack card, choose one of the credit packs available to your account and complete checkout through Stripe. Packs are the only way to add credits; there are no custom dollar amounts and no promo codes, and you need an active plan.
  4. To turn on auto-refill, open the Auto-refill card, tick Automatically buy a credit pack when my balance runs low, set When balance falls below (credits) to at least 1,000 ($10), and choose the pack in Refill with pack.

When your balance falls below the threshold, the chosen pack is bought with the card on your plan subscription. A temporary Voice or AI authorization hold may reserve spendable credits while work is in progress, but it cannot trigger an auto-refill. If the card is declined, auto-refill switches itself off and emails you, so it never loops on a decline.

How do goals turn into daily targets?

You enter a desired annual gross revenue plus seven planning inputs on the Inputs card of the Goals tab of the KPI Dashboard at https://app.closemagnet.com/performance?view=goals, and the platform works backward into an activity plan.

Deals to close equals gross revenue divided by average deal size. Properties to put under contract equals deals divided by your success rate, and offers, process calls, and leads follow from there. The target cascade shows each metric across Daily, Weekly, Monthly, Quarterly, and Annual columns, with period-to-date actuals and pace bars.

Two projections sit alongside it: quarterly gross revenue is the annual goal divided by four, and expected contribution profit is gross revenue times your margin. That margin already covers marketing and commissions, so it is not net income. Only the account owner (or your LeadAttractor team) edits the inputs.

Do transcripts cost credits?

Transcripts your LeadAttractor CRM already captured cost nothing extra. They arrive with the call and are stored as they are.

When your LeadAttractor CRM has a recording but no transcript, the platform can transcribe that recording itself, and this fallback is metered per audio minute against your credit wallet. The control is the Transcribe eligible recordings toggle in Coaching -> Settings (https://app.closemagnet.com/coaching?tab=settings), and it is on by default. The account owner can change it; teammates see it read-only. Turn it off and no paid fallback runs, while transcript capture and call-recording capture in your LeadAttractor CRM keep working normally.

Coaching is billed separately from transcription. An AI coaching run draws from the same wallet when it uses a platform AI key, whether the transcript it read was free or metered.

What happens to a removed teammate's history?

Removing a member never erases their work. Every transaction, task, commission entry, and rehab or flip item they touched keeps its attribution, relabelled to show the person is gone.

The label reads Former member followed by the name or email captured at the time they were removed, and it is not selectable. You can still see who did the work historically, but nothing new can be assigned to them, so a closed month keeps reading the way it read then.

Because commission history has to stay intact, deleting the underlying account is guarded while commission records still point at it. If you need an account fully removed, that goes to a human on the LeadAttractor team.

There are two methods. The marketplace app is the primary OAuth install: confirm your CRM location / account ID is set, then use the CRM connection card to Connect and install the connector into the correct LeadAttractor sub-account, approving the access it requests. A Private Integration Token (PIT) is a fallback credential, normally created and entered for you during install and stored encrypted. Which CRM settings must stay on for CloseMagnet?

Three settings in your LeadAttractor CRM are load-bearing:

  • Call Recording gives every answered call a playable recording in Coaching.
  • Call Transcription gives every answered call a transcript, which is what makes a call coachable and scoreable. A call with no transcript cannot be coached.
  • The sender user is the active LeadAttractor user your blasts, transaction emails, and contracts send as. Keep it active, or those sends can fail.

Set recording and transcription under LeadAttractor Settings -> Phone Numbers (or Phone System). Both must be on for full Coaching. They apply going forward and do not retroactively transcribe older calls.

Why does my call show in KPIs but not in coaching?

This is expected behavior, not a bug. Answered human calls count in your KPIs almost immediately, but a call only enters Coaching when it is a real, transcribed, long-enough human conversation.

A call counts in KPIs but stays out of Coaching when any of these is true: it was under the 60-second minimum, the transcript has not arrived yet (the row shows "No transcript yet"), Call Transcription is off in your CRM, the call was a voicemail or missed or unanswered call, or auto-summarize is off. Confirm Call Recording and Call Transcription are both on in your CRM, wait for the transcript, and use Summarize if auto-summarize is off.

What syncs to my CRM, and what does not?

Syncs from CloseMagnet into your CRM: buyers write back to their contacts (about 30 buy-box fields plus standard address), offers push a note onto the buyer's contact, and lifecycle tags (buyer active/not active, and seller in-contract/closed/lost) are kept current. Properties sync from the CRM into the platform. Empty fields are never pushed as blanks, so a sync never wipes a value you already have.

What does not sync: opportunity and pipeline stages (no stage sync in either direction) and deletes (deleting in one system does not delete in the other; DNC buyers are suppressed, not removed). Dedupe keys buyers to the CRM contact ID, CSV imports upsert by phone, directory reveals merge by directory record, and Get Buyers de-duplicates known buyers before contact matching whenever possible.

Who handles A2P registration, and how long does it take?

A2P 10DLC is the required carrier registration that lets your business send texts from a local number. LeadAttractor handles brand and campaign registration for you during your install. You provide accurate business details and sample messages.

Have ready your legal business name, your EIN (the single most important field, which must match your legal entity), business address and contacts, a live business website, realistic sample messages, and your opt-in and opt-out details. Timelines are set by the carriers: brand vetting is often hours to a couple of business days, and campaign approval commonly takes days to a few weeks. Corrections restart the clock, so accurate details up front is the fastest path. Do not run sends before approval; unregistered traffic is filtered and damages your number's reputation.

How do appointments get booked?

Into your LeadAttractor booking calendars, which are part of your install. When an AI voice agent is on a live call and the lead is ready to meet, the agent reads your true free slots from the CRM calendar and creates the appointment on a genuinely open time, so you never get a double-booking.

Jordan is the booking agent who sets the appointment during the call; Sam handles rescheduling and updates the appointment on the same calendar. Booking runs through your CRM calendars; there is no separate CloseMagnet calendar module. Booking the appointment is the success metric, so once it is set the lead is marked won and the workforce stops dialing them. If an appointment looks an hour off, check that your account timezone and CRM calendar timezone match.

Can support process a refund, cancel my plan, or change my billing?

Those requests are handled by a human on the LeadAttractor team, not by the support assistant. Anything that touches money, contracts, or account state is escalated to a person.

That includes billing disputes and chargebacks, refunds, cancellations, plan changes, rate edits, granting credits, adding or removing users, resetting access, and legal or compliance matters. The support assistant can answer product questions from the knowledge base and point you in the right direction, but a person makes the actual account change. Ask to be connected with the team and your request will be routed to a human. You can also manage your card, invoices, and cancellation yourself through the Stripe customer portal from Settings -> Billing.

Can I get coaching scores for calls from before coaching was turned on?

No. Coaching is answered calls, going forward only. There is no historical transcript recovery, so scores start accumulating from the point coaching is live; you cannot backfill scores or transcripts for old calls.

Only answered calls ever enter coaching, and a call needs a transcript to be scored. Calls made while Call Transcription was off in your CRM have no transcript and will not retroactively become coachable. Turn on Call Recording and Call Transcription in your CRM so calls going forward arrive ready to score.

Why does my Commissions tab show no statements?

Statements and ledger entries are per member, and every entry needs a real platform member. A client with no member profiles (a brand-new team, for example) has no statements yet, and the page reads "No commissions for" the month, noting that commissions are computed automatically when a deal closes.

The fix is to add your members first. The account owner can click Invite / link member on the Individual Settings tab of Commissions; your LeadAttractor team can also do it for you. Once members exist and closing events are recorded on your deals, entries appear on their own. Base pay appears once the owner or an admin clicks Generate base pay for the month in Plan Settings, Month utilities.

A new lead just came in. What do I do?

Work it fast while it is New Untouched, which is a brand-new lead nobody has contacted yet. The moment you make a contact attempt, the lead becomes Discovery, and it stays there while you figure out whether it is a real selling lead. During Discovery the dialer keeps working the lead on a set cadence until you reach the seller, or the lead becomes do-not-call or Dead. You do not have to schedule the follow-ups yourself; the status runs them for you.

Open Full Article
How many times will it dial a new seller lead?

On each attempt, the dialer makes 2 dials in a row if there is no answer. Attempts climb a ladder from Attempt 1 through Attempt 2, 3, and 4, then a Final Attempt, and each attempt sets the next follow-up, spaced wider as you go: the next day early on, then 7 days, then 14 days. After the ladder finishes, the lead stays in Discovery and the dialer keeps calling until you make contact, or the lead becomes do-not-call or Dead. This keeps leads worked hard without over-contacting them.

The seller is interested but not ready. Where does the lead go?

Put it in Interested - Add to Follow Up. Use this when the seller is interested but not ready today and fits your ideal profile, or is not distressed but their asking price works or is within 20 percent of your maximum allowable offer. This status prioritizes the lead in your follow-up calls and runs a 30-day cadence (a call plus a text) for up to 2 years. A lead whose offer was made but not accepted also lands here after its offer cycle ends, so nothing falls through the cracks.

How do I stop other people from calling a lead while I work an offer?

Move the lead to Interested - Set Offer Status. That locks the lead to the assigned manager, so no one else on the team calls it while you work the offer. Use it when you are actively working the deal: due diligence after the process call, awaiting offer approval, waiting to make the offer call, or the purchase agreement is out for signature. Keep a future call scheduled on the lead; if there is no future call, it drops back to Interested - Add to Follow Up and reopens to the team.

My offer was not accepted. What happens next?

The lead becomes Offer Not Accepted, which means the first offer was turned down and a manager reviews whether you can come up. After that review, the lead moves to Offer Follow Up, which follows up every 7 days for 10 weeks. If it still has not come together after 10 weeks, the lead rolls back to Interested - Add to Follow Up and its 30-day cadence, so you keep circling back without losing the relationship.

The deal is under contract. What does that do?

Set the lead to In Contract. That updates your KPIs and moves the deal into your Dispo pipeline, where it is worked as a live deal. If a deal that was In Contract later dies, your transaction coordinator sets the lead back to Interested - Add to Follow Up with a 30-day follow-up, so a dead deal is never simply lost and you keep following up with that seller.

What is the difference between do-not-call and not interested?

They are not the same. A seller who is just not interested, might sell later, or is unsure goes to Add to Follow Up, so the system circles back to them 3 to 6 months out. Do-not-call (DNC / DND) is only for a prospect who actually asks to stop being contacted or to be taken off your list. Setting DNC / DND suspends all routing and marketing for that lead and moves it to your completed leads. Reserve it for real stop-contacting-me requests, not ordinary rejections.

How do I turn the AI off for a single lead?

Use the per-lead AI kill switch on that lead. There are two levels. The first removes the single lead from all AI workflows, so the automation stops working it while the rest of your account runs normally. The second is a hard stop that halts all AI on the lead and also stops the bot from responding to it. Use the hard stop when you want the lead completely quiet on the AI side so you can take it over yourself.

The property already sold. What do I do?

Set the lead to Already Sold, which is for a property that sold in the last 3 months. Put a 1-year follow-up on it and skip-trace the new owner so the lead goes back into the system for later. Sellers and owners change their plans over time, so an Already Sold lead is worth keeping warm rather than dropping.

The seller says it is already on the MLS. What now?

Set the lead to On the MLS. That runs a 30-day follow-up for 4 months to see whether the property actually sells while it is listed. Many listings do not sell in that window, so staying in touch on a monthly cadence puts you first in line if the seller comes off the market and is ready to deal.

What is the difference between Closed Deal, Lost Deal, and Dead?

Closed Deal is a deal that closed and funded with title; it updates your KPIs and moves the lead out of your active pipeline into completed leads (your transaction coordinator marks these). Lost Deal is a deal you were in talks on where the seller closed with another company, and you only set it once that house closes; it is held for a manager to review the calls for training. Dead is only for dead-end records: not the homeowner, no knowledge of you, a bad or disconnected number, a duplicate, or a fake lead.

The seller wants an agent or a creative deal. Where does that go?

If the seller wants to go retail and is better served by a realtor, set Refer to Agent, move them to your agent-nurture workspace, and set a 30-day follow-up. If the seller looks like a good candidate for a creative offer instead, set Creative Financing so the lead is worked as a creative-financing opportunity. If a seller's situation does not match any documented status, check with your team, since your pipeline can be customized.

What can the CloseMagnet API do?

It reads almost everything in your account, and what it writes is deliberately narrow. Its endpoints span 17 domains and the large majority are read-only. The ones that write do one of these things:

  • Prepare a message or blast draft that a person still has to approve.
  • Put an offer or a note on your own records, and mark a task complete.
  • Create or update a property, move its stage (with the assigned buyer and the assignment fee), and set its deal owners.
  • Work a transaction file: reopen a task, mark a task not applicable, reassign a task, edit the file's fields, and add or update the people on it.
  • Request a comp report, which is metered and must be confirmed.

The property and transaction-file writes are built to be tried safely. Each one can run as a dry run that checks everything and saves nothing. Each accepts an idempotency key, so a call retried with the same key never changes anything twice. Each answers with the full record after the change and the list of fields that changed, so the agent can check its own work. They need a scoped credential with Write on the Properties row (for the property itself) and on the Transactions row (for deal owners, tasks, transaction-file fields, people, and a stage move that records the buyer, the fee, or a note). Your automatic account token is refused by the property tools on purpose; it keeps its original job of receiving what your LeadAttractor CRM pushes in.

Everything lives under https://app.closemagnet.com and authenticates with an Authorization: Bearer header carrying a credential you mint. The domains cover leads, calls, campaigns, KPIs, buyers, properties, comps, deals, blasts, segments, transactions, flips, commissions, coaching, credits, team, and account.

What an agent can never do, and what a stage change adds to your LeadAttractor CRM, is covered in "Can a connected agent send messages or spend money?".

The full reference is in the app at Settings -> API -> API reference. It lists every route, its parameters, and the credential scope it requires, and any member of your account can read it. Read it there rather than working from a remembered count: the catalog grows as the product does.

How do I create an API credential?

Only the account owner can mint one, and it happens at Settings -> API.

  1. Open Settings -> API and find the "Create scoped credential" panel.
  2. Type a credential name, up to 80 characters.
  3. Pick an Expires value: 30 days, 90 days, 1 year, or no expiration. It defaults to 90 days.
  4. Tick the scopes this integration needs. Nothing is selected by default, and "Select all read" and "Clear" are there to help.
  5. Click Create credential.

The new value appears once, in a locked dialog that says "This is the only time this credential will ever be shown." Copy it before you dismiss it. Afterward only its prefix and usage metadata are ever visible.

You will know you copied the credential and not something else by its shape. It begins cmk_, continues with 64 hexadecimal characters, and is 68 characters long in total:

http

Authorization: Bearer cmk_0123456789abcdef0123456789abcdef0123456789abcdef0123456789abcdef

Paste that value straight into the integration, as the word Bearer, then one space, then the token. Never leave the example in place, and never wrap your own value in angle brackets or quotes of your own: the server compares what arrives against the stored credentials and refuses anything else.

What is the difference between my account API token and a scoped credential?

Your account API token was minted automatically when the account was created. It sits pinned as the first row in Settings -> API with the type "Automatic", carries a fixed set of scopes, can be revealed again at any time, and can be rotated but never revoked. It is a 64-character string with no prefix.

A scoped credential is one you name and mint yourself, with only the scopes you grant and an optional expiration. It is shown once, and it can be revoked on its own. It begins cmk_ and is 68 characters long.

Either one travels the same way: the header name is Authorization, and the value is the word Bearer, then one space, then the token itself.

Here is the part that catches people out. The account token carries the intake and webhook write scopes, not the account-wide read scopes, so a GET to /api/v2 with it answers 401. Mint a scoped credential for reads.

Open Full Article
How do I rotate or revoke a credential?

It depends which kind you have, and only the account owner can do either one.

The account API token has no revoke, only Regenerate, on its row in Settings -> API. The old value stops working immediately and every integration still using it breaks until you paste in the new one, so line up those updates before you click.

A scoped credential has a Revoke button on its row. It takes effect immediately, and the row stays in the table marked "Revoked" so you keep the record of what existed.

If you simply lost the value, there is no reveal to fall back on. Revoke it and mint a replacement.

Before you conclude a credential has died, check what the integration is actually sending. A scoped credential begins cmk_ and is 68 characters long; example text copied out of a snippet, or a slot still wrapped in angle brackets, is not a credential at all and fails the same way a revoked one does.

Which scopes should I pick?

Select the fewest permissions your integration actually needs. Settings -> API shows the scopes an owner can choose. A registered system permission is not necessarily a selectable customer credential option, so follow the current selection screen and API Reference.

For example, leads:read is limited to a named campaign, while account-wide lead reads require leads:read_all. Give each integration or agent its own named credential so one can be revoked without breaking the others.

Why is my API call getting a 401?

Check the exact operation's authentication and required scope. A missing, malformed, expired, revoked or insufficiently scoped credential can be refused without revealing which check failed. A 401 alone does not prove the token is simply mistyped.

Send the actual credential through the documented Authorization header, never a URL. Confirm you copied the credential rather than the Client ID or an example value.

An MCP connection also needs a host that can send the supported credential header. Tool discovery and execution permissions are separate. See Connect an AI Agent and the operation-specific API Reference.

What are the API rate limits?

The common customer API request limit is 120 requests per minute per credential and 240 per minute per source IP. Individual endpoints and the hosted MCP entry point can have their own additional bounds, so read the exact operation in API Reference.

A 429 is a signal to back off, not to retry in a tight loop. Follow a Retry-After header when supplied, reduce concurrency and use bounded list pages or an aggregate instead of fetching thousands of records unnecessarily.

Open Full Article
How does API pagination work?

Most list endpoints take limit and offset. limit defaults to 50 and must be 1 to 200. offset defaults to 0 and must be 0 to 1,000,000. A value outside those ranges is refused with a 400 bad_request rather than quietly clamped, so you always know.

A list response is an object holding items, total, limit, and offset. Read total once and decide whether a second page is worth fetching.

Two endpoints differ. The coaching saved-reports list uses a cursor instead of an offset, with limit 1 to 100 defaulting to 25, and it refuses a half-supplied cursor pair. The older per-campaign Lead API defaults limit to 100 with a maximum of 500.

How do I connect an AI agent to my account?

Use the hosted endpoint https://app.closemagnet.com/api/mcp with a scoped CloseMagnet credential. Your host must support remote Streamable HTTP and the documented authentication header. No CloseMagnet client-secret pair or OAuth sign-in is required by that endpoint.

Start with only the read scopes needed for one safe task. Confirm the tool list loads, then inspect an actual permitted read; a listed tool does not grant access to it.

Connect an AI Agent contains the complete generic, Claude Code and Codex setup, secure credential handling and troubleshooting. Other hosts vary by version and organization policy; do not assume every MCP form can send custom headers.

What is the closemagnet-crm skill?

It is the usage playbook that teaches a connected agent to use your CloseMagnet tools well: the ground rules, which tool answers which kind of question, the id and pagination rules, the error table, and the safe habits.

The tools alone only tell an agent what exists. The skill tells it what to reach for, what it must never claim, and when one aggregate call beats paging thousands of rows.

Any agent connected over MCP receives it automatically as the resource closemagnet://skills/closemagnet-crm. It is also shown as a copyable block at Settings -> API -> API reference, for hosts where a local file makes the guidance stick harder. Both copies come from one source, so they cannot drift apart.

Can a connected agent send messages or spend money?

It can never send a message: no text, no email, and no call to a lead, a seller, a buyer, or a title company. It can spend money in exactly one way, and only if you grant it that scope: requesting a comp report, which is metered per run.

Most of the tools only read. A small number write, and none of them sends a message to a lead, a seller, a buyer, or a title company (a stage change gives your own deal team the usual internal notice, described below). Two of the writes prepare messages and stop there: one drafts a single follow-up to one lead, the other assembles a blast campaign with its recipients already queued and suppression applied. Both come back at the status "draft". Nothing sends, schedules, scrubs a number, or spends a credit until a person approves it in the app, and the approval and launch calls are not reachable from the credential an agent authenticates with.

The remaining writes change your own records. They put an offer on one of your properties or amend its commercial terms, mark a task complete on a transaction workfile or a fix-and-flip project, and append an internal note to a transaction's communication log or a flip's note log. They also create or update a property, set a property's deal owners (acquisitions, dispositions, follow-up, and transaction coordinator), move a property's stage with the assigned buyer and the assignment fee, reopen a transaction task, mark one not applicable, or reassign it, edit the fields of a transaction file, and add or update the people listed on it. Notes are records, never outbound messages.

Offer decisions and EMD received stay with a person. Accepting, declining, and backing up an offer, marking an offer's EMD received, attaching a contract, and deleting anything all stay with a person in the dashboard, and an offer a person has already decided is frozen. The stages from Buyer EMD through Closed also need an accepted offer with EMD received, so an agent's move to one of them is refused until a person has recorded it. An agent can write the EMD amounts, holders, and dates on a transaction file, but those do not satisfy that rule.

Changing a stage is the one agent action that reaches your LeadAttractor CRM, and it does what the same change does by hand. When a deal moves to certain stages, CloseMagnet adds an internal note to the seller's contact in your LeadAttractor CRM (for example "Offer accepted", or "Deal fell through" with the reason), provided the property has a seller contact linked. When a deal closes or is lost, it also adds the closed-deal or lost-deal tag. Your own deal team gets the same internal notification email a hand change sends. The note and the tag are internal records, and CloseMagnet does not contact the seller. If you have an automation in your LeadAttractor CRM that reacts to one of those tags, it reacts the same way it does to a hand change. If the note or tag cannot reach your LeadAttractor CRM, the stage change still stands, exactly as it would by hand, and the answer tells the agent so. Nothing else an agent does is sent to your LeadAttractor CRM, and your deal pipeline is not synced to it.

Every property and transaction-file write can run as a dry run first. CloseMagnet checks the whole change and shows what would change, and it saves nothing, adds nothing to your LeadAttractor CRM, and emails no one. A call repeated with the same idempotency key returns the first answer and changes nothing twice.

The one write that costs money is the comp report. After your plan's free comps for the month, each comp is charged to your CloseMagnet balance, so the call is refused unless it explicitly confirms the spend, and it is refused outright unless the credential carries the comps write scope. So if you do not want an agent spending, leave Write clear on the Comps row when you mint its credential. In the same way, if you do not want an agent changing properties or transaction files, leave Write clear on the Properties and Transactions rows. An agent cannot perform a billable directory reveal at all; that happens in the app.

If an agent tells you it sent a message, it is wrong by construction. Go look at the draft.

Open Full Article
Where do I approve what an agent drafted?

In one of two places, depending on what it drafted:

Until someone acts in one of those places, a draft is completely inert. Nobody has been contacted, no credits have moved, and nothing is scheduled, however confidently the agent described its work.

Approving is also not always the same as delivering. Check the draft's status afterward rather than assuming it is gone.

How do I push buyers in from my CRM?

POST to https://app.closemagnet.com/api/v2/buyers using your account API token in the Authorization: Bearer header. Send your CRM's stable contact identifier in ghl_contact_id; this is the recommended deduplication anchor for this generic intake. Use the exact supported fields and aliases in the API Reference.

For a native GoHighLevel workflow payload, use the separate documented GoHighLevel buyer adapter rather than assuming the generic route accepts every native field or shape. Keep the same original contact identifier when repeating an authorized intake.

How do I push properties in?

POST them to https://app.closemagnet.com/api/v2/properties with your account API token in the Authorization: Bearer header. The one required field is address; without it the request is refused with a 400 bad_request.

The recognized keys are address, street, city, state, zip, contract_price, asking_price, arv, repair_estimate, and exit_type, plus the seller's contact id from your LeadAttractor CRM under the key shown in the sample payload on the Integrations tab of Properties (https://app.closemagnet.com/properties?view=integrations). Anything else in the body is ignored rather than rejected, so you can send your LeadAttractor CRM's full payload.

For a native webhook shape, point it at the native webhook address shown on that same Integrations tab. That adapter dedupes on address, so a repeat send updates the existing deal rather than creating a duplicate.

To create or update one deal and get the saved record back, for example from an AI agent or your own system, use POST https://app.closemagnet.com/api/v2/properties/upsert instead (the upsert_property tool for an agent). It needs a scoped credential with Write ticked on the Properties row, not the account token. It matches an existing deal by your own external_ref first, so send one per deal, and it never overwrites a different deal. Send dry_run true to see what would change without saving, and an idempotency_key so a retry changes nothing twice. The answer carries the full record after the change. The seller's contact id is the code at the end of the contact's link in your LeadAttractor CRM; send only that code. The full field list is in the API reference, under Settings, then API.

How do I send KPI events in?

POST them to https://app.closemagnet.com/api/connector/kpi with two headers. Authorization: Bearer carries a scoped API credential with the kpi:write scope, which the account owner creates on the API tab of Settings. x-kpi-type names the event. The Record KPI events card on the owner-only Webhooks tab shows the full example.

x-kpi-type has to be one of new_seller_lead, pass_off, process_call, dial, call_connected, call_disposition, touch, or quality_touch. Anything else is refused with a 400 bad_request. The body carries only the contact context, and fields outside the known set are never read.

A duplicate is not an error. It answers 200 with recorded set to false and the reason duplicate, so a workflow that fires the same event twice neither double-counts nor fails.

Why did my API call return 400?

Because validation is strict on purpose. Rather than guess at what you meant, the API refuses the request with { "error": "bad_request" }.

The usual causes are an id that is not a well-formed uuid, a limit or offset outside its allowed range, an unknown value for an enumerated filter, a text value over its length cap, or a body that is not a valid JSON object.

Two behaviors save you most of the guesswork: an empty string is treated exactly like leaving the parameter off, and a query parameter the endpoint does not recognize is ignored rather than rejected. So fix the one argument that failed and retry once. Never retry the same call unchanged.

What should I never do with an API credential?

Never put one in a URL, query parameter, public repository, buyer note, shared screenshot or support chat. Use the documented authentication header over HTTPS and ensure your logging tools redact it; a header can still be exposed by careless logging.

Create one credential per integration or agent, select only required permissions, set an expiration and revoke exposed credentials. Treat free-text data returned by an API as data, not as instructions authorizing new actions.
